How much does it cost to implement AI in a small business?
A practical way to budget AI in a small company: discovery, build, providers, adoption and upkeep.
| Type of project | Initial estimate, from |
|---|---|
| Process automation | MXN 10,000 + VAT |
| Agent for customer messages | MXN 15,000 + VAT |
| Internal assistant with company documents | MXN 15,000 + VAT |
| Custom operations system | MXN 30,000 + VAT |
Start with a process, not a tool
“Implementing AI” can mean anything from helping one person write better to building an agent connected to the company’s systems. That is why generic prices mislead. The right unit for a budget is a process: who starts it, what information it needs, what decision it makes, what it delivers and what happens when an exception appears.
A small business gets more value when the first project is narrow and frequent. Answering the same questions, preparing a quote, sorting requests or finding answers in documents are better candidates than “automate the whole company”. A limited scope lets you test with real examples, measure errors and decide whether to expand.
The five parts of the real cost
First is discovery: observing how it is done today and turning informal knowledge into checkable rules. Then the build: interface, instructions, information retrieval and tools. Third is testing, including normal cases, incomplete data and requests the system must refuse. Fourth is adoption: teaching the team when to use it and how to report errors. Fifth is operation: providers, monitoring, changes and support.
If a proposal talks only about licences, it probably leaves out the most important work. If it talks only about development, it may omit recurring costs. Ask for both to be itemised separately so you can tell a one-off payment for building from a cost that continues while the system is live.
How to know whether the project pays for itself
You do not need to promise a percentage of savings. First record a simple baseline: how often the task happens, how long it takes, how many people are involved, which errors repeat and what opportunity is lost when it is late. Then compare the same set of cases with the new implementation.
There are also benefits that do not reduce to hours: consistent answers, traceability, continuity when someone is out and less dependence on one person. Write the decision criterion before building. For example, “the assistant finds the right policy in eight of ten tests and says when it has no evidence” is verifiable; “improve productivity” is not.
Reference: messaging software with AI also has public prices
If your first project is answering messages, a platform can be an alternative. As of October 26, 2026, for example, Leadsales lists plans from MXN 2,362.92 per month, and respond.io and Wati from USD 79 and USD 59 per month on annual billing; WhatsApp messages are charged separately. It is an ongoing subscription, different from paying for a build once.
The details and the comparison with a custom build are in the guide on how much a WhatsApp AI agent costs in Mexico.
Frequently asked questions
Does a ChatGPT subscription count as an implementation?
It is a useful tool for individual work, but it does not define a shared process, permissions, integrations or a stable way to operate.
Should I start with a chatbot?
Only if answering messages is your clearest bottleneck. In other businesses an internal assistant or an administrative automation can return more.
What budget should I set aside?
Set aside the cost of building and confirm providers, support and team time separately. The scope should fit a first, verifiable phase.
